  • Engineering Document Specialist – Co. Waterford

    Role Summary:


    • Our client is looking for an Engineering Document Specialist to join their busy biopharmaceutical state-of-the-art facility in Co. Waterford
    • Reporting to the Project Manager, ultimately the role will support the project team to process and maintain transparent, up-to-date and easily traceable documents as part of the technical procurement process.
    • This is a great opportunity to gain experience within the Life Science sector.


    Core Duties and Responsibilities:


    • Process and track contract documentation through company’s CONGA system (similar to Veeva or SAP). This will require a high level of engagement with internal stakeholders (Legal, Engineering, Supply Chain) and external vendors and contractors.
    • Onboard external Consultants, Vendors, Suppliers and Subcontractors into SAP.
    • Provide administrative support to the project team
    • Build, manage & maintain relationships with Internal & External Clients, contractors, other professionals, vendors, suppliers, and staff who interact with the system.
    • Creation of Purchase Requisitions following full execution of Legal Agreements and co-ordination of creation / approval / issuance of Purchase Orders with Procurement Department.
    • Maintain accurate document record logs.
    • Update, maintain, archive and retrieve procedures, registers, trackers and databases.
    • Copy, scan and store documents according to the Quality Management System.
    • Create templates as required.
    • Maintain confidentiality around sensitive information and terms of agreement.
    • Any other duties as required by management


    Qualifications and Experience:


    • Minimum Certificate qualified in a relevant discipline e.g. Project Management, Business Administration.
    • Must have previous experience with an Electronic Document Management System (ideally Veeva, SAP, SharePoint etc.)
    • Very High attention to detail and accuracy is required.
    • Familiarity with working in a project environment an advantage.
    • Strong administrative experience in busy environs – Legal / Quality / Finance / Commercial
    • Must be a self-starter with a proactive attitude, results-oriented focus; and willing and capable to assume additional responsibilities.
    • Team player, but also be able to work using your own initiative.
    • Ability to prioritise workload, work under pressure and deliver to strict timescales.
    • Digitally savvy with strong I.T skills, very high level of proficiency with MS Office products (Particularly, PowerPoint, Excel & Word – Conga & SAP an advantage).
    • Ability to communicate with Clients, Management and Cross-functional Leads.
    • Must be organised, process-based, and have a structured approach to your work.
